Internal organization communication is
often overlooked by management, but it plays a key role in creating an effective
work environment. Communication affects the relationships among members in an
organization. As the organization grows, it needs to build effective internal
communication in order to build its strength. It is easy to give members messages,
but the organization will not know whether or not the message has been received in
the intended form. This causes misunderstandings among members. A
communication problem can become a major problem in the long term. To improve the internal communication, there are easy three steps to follow.
First, a company must learn and know their barriers. What are the barriers in internal organization communication? One of the biggest problems is there is no clear goal provided. This makes employees confused about what is important that the company wants them to do. Some organizations have language problems. Employees are speaking the language as a second language. This causes ineffective communication. . Other companies might just have less communication. So, the message does not spread out clearly or throughout the company. Misunderstanding occurs and it affects the company's performance.
After knowing the barriers, then find the way to remove them. If the company has no goal provided, then set goals and operation manual. Goals ensure employees perform their best
performance. Also, these goals help them accomplish the improvements. Find a translator if the company has a language problem. In addition, the company can suggest employees use clear and slow speech, repeat important points, and use visual representation to help communication. Moreover, encourage employees to show respect to others by listening deeply and asking questions to make sure that they understand it right.
Finally, encourage communication within the company. Have monthly meetings to discuss and go over important information with the employees. This helps the organization ensure that all employees receive the right information. The regular meeting helps the organization be open and prevent misunderstandings. It builds relationships among employees to feel like a part of an organization. Also, it improves transition, sharing and exchange of information, about what is going on in the organization. Feedback is the best way for the organization to be sure that the information is accepted or not. if negative feedback occurs, the organization will get an advantage to solve it before it becomes a crisis problem.
Knowing barriers to communication is the first step to minimizing their impact. Removing barriers helps organizations improve communication. Understanding the organization's communication process helps the organization communicate with employees effectively.
As the organization grows, effective internal communication is vital to future success. Communication will build the necessary work relationship between employer, employees, and third party members. Employees should make it known when a communication is not understood; and suggest when and how information could have been communicated more effectively.
